Advice for Facilitators

A facilitator must be assigned to each site in the MidSOUTH Compressed Video Network. Some of the responsibilities of the facilitator include:

  • Operating the compressed video equipment. At least one week before the event, the facilitator should contact the distance education team for instructions and training.
  • Handling all administrative duties associated with the presentation, such as circulating attendance sheets, making copies, distributing handouts, collecting evaluations, etc.)
  • Getting access to the building/room. The facilitator is responsible for locking and unlocking the door for participants and for leaving the room in the same way it was found.
Facilitator Checklist

Prior to the day of the presentation:

Meet with the Distance Education Program Team for training on operation of the equipment and instructions on securing the room.

Day of the presentation, prior to start time:

  1. Plan to be at the training site at least 30 minutes early on the day of the presentation. The facilitator and presenter can use this time to go over the specifics of the presentation and equipment.
  2. Obtain a list of contact numbers for the sites to be connected, the facilitator on call, and the requesting agency.
  3. Pass out materials as directed by the presenter. Give directions on completing forms as needed.
  4. Direct participants to the locations of bathrooms and exits. Announce that no food or drinks are allowed in the room. Give instructions to the participants on use of the microphones.
  5. If the presentation is to be taped, make sure a videotape is ready and the VCR is recording (just prior to start time).

After the presentation:

  1. Disconnect (hang up). Turn off the equipment as directed by the local distance education team.
  2. Gather paperwork and return it to the presenter as instructed.
  3. Secure the building/room and make sure everything is left the way it was found. Return any keys to the site.
